Change Happens: Edit Forms from the JSD Portal

Sometimes it’s a misunderstanding. Sometimes it’s a logical response to poorly written instructions. The bottom line is that we don’t always get things right the first time. And even though we know we should check everything over before we hit Submit, little errors sneak by.

Or things change. You ordered 500 brochures from Marketing, then you thought of another customer segment you forgot to include. It would be better to have 800 brochures. You can always add a comment to your request, but having the right information in the place where people are looking for it (on the form) is the best way to assure the desired outcome.

Now you can make changes and correct mistakes on ProForma forms. We are pleased to announce that with the latest version of ProForma, you can easily edit forms from either the issue or the JSD portal.

 

Note that these are now available if you’re using ProForma for Jira Cloud and Server.  If you using server, you will need to update to version 4.1.1


To Edit ProForma Forms on Jira Issues

To edit an open form on the issue:

  1. When viewing an issue, expand the Forms section if necessary.
  2. Click on the the Show button to the right of the form name.
  3. Click on the Edit button.
  4. A blue banner across the top of the form will indicate that you are in Edit Mode. Make the necessary changes.
  5. Click Save.

To Edit ProForma Forms on from the Jira Service Desk Portal


If a form is set to external, then it may be edited from the customer portal. To edit an open form from the  portal:

  1. Navigate to the relevant request.
  2. Click on the the Show button to the right of the form name.
  3. Click on the Edit button.
  4. A blue banner across the top of the form will indicate that you are in Edit Mode. Make the necessary changes
  5. Click Save.

Note that forms that have been submitted will need to be reopened by the service agent before they can be edited.

Limitations 

Open forms can be edited by a service agent, the customer, a designated approver or anyone else who has been invited to participate on the issue. If a form has already been submitted, then a service agent will reopen it before it can be edited from the portal. When a form field is linked to a Jira field, and the contents of that form field gets changed, Jira’s audit trail will show the field as having been updated by “ProForma”. We’ll be adding the capacity to better audit changes to form submissions in the future. 

What’s on Deck?

The ability to edit submitted forms is one of the newest features we’ve added to ProForma, but it’s not the only one. We’ve also given you the capacity to designate forms as internal or external and include more than one external (customer) form per request type on the Jira Service Desk customer portal. 

Making ProForma forms functional and adaptable to your needs is our priority. Soon, we’ll be adding the ability to create dynamic fields, allowing you to enable/disable form sections or questions depending on the response to a previous question. Making your forms be responsive to the user’s situation will result in a better experience for your users and more accurate data for you.
